POSITION SUMMARY:

The Administrative Assistant performs many functions, ranging from handling Human Resource issues with the Denver Office, to balancing budgets. The scope of their responsibilities is closely dependent on their qualifications, educational attainment and level of expertise. The Administrative Assistant is responsible for ensuring smooth operations of office personnel, while upholding the organizations vision and set standards.

 


ESSENTIAL DUTIES/RESPONSIBILITIES:

•Display outstanding ethical and leadership skills
•Responsible for the creation, coding and processing of Purchase Orders
•Assist in the Work Order process for Field Gathering and Processing Operations
•Assist in the monthly Authorization for Expenditure process as well as the Work-in-Progress process
•Ensure the maintenance of a working environment that yields productivity and furnishes essential office supplies
•Provides support for area management including preparation of reports, arranging meetings with internal and external staff
•Oversee planning, organizing and managing of the various activities done within and outside the organization
•Serve as the reporter of estimated yearly expenditures and produce written output regarding the organization’s budget
•Maintain an effective medium of communication and close collaboration among the office personnel
•Serve as the receiver of important mail, documents and ordered items delivered to the organization’s address
•Perform a series of secretarial functions for management and provide additional services depending on the individual policies of the organization
•Comply with MarkWest Safety rules
•Other duties and special projects as assigned

JOB QUALIFICATIONS:

•High school diploma or general education degree (GED); three to five years’ related experience or training; or equivalent combination of education and experience
•Strong organizational skills, ability to work well under time pressures
•Ability to coordinate, prioritize and execute many tasks at once

Physical Demands:


While performing the duties of this job, the employee is regularly required to stand, walk, and talk or hear. The employee frequently is required to use hands to finger, handle, or feel. The employee is occasionally required to sit; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; and taste or smell. The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. On occasion there will be outside office assignments that can involve walking around construction sites, industrial locations, field and/or wooded areas.


Work Environment:


Generally working in an office environment, however, May require visiting and walking around some construction and industrial sites, farm properties, driving on rural roads, and other field locations, to acquire familiarity with facilities, properties and settings. While performing the duties of this job, the employee is occasionally exposed to cold outside weather conditions and flammable gas and liquids. The employee is occasionally exposed to moving mechanical parts; high, precarious places; fumes or airborne particles; acidic or caustic chemicals; and risk of electrical shock. The noise level in the work environment is usually low to moderate. This position mandates working hours of 8:00 AM through 5:00 PM, Monday – Friday.

Materials and Equipment Used:


The materials and equipment used on a regular basis will be a personal computer, phone, fax, copier and map printer/plotter.
