Position Summary

This position is responsible to represent MarkWest as the first point of contact by greeting guests, issuing visitor badges, answering incoming telephone calls, routing calls correctly and handling daily mail duties in a friendly customer-oriented, professional manner. This person must possess professionalism, self-motivation, be a common sense thinker, mature and dependable. Ensures safeguarding of confidential information that may be accessed in performance of duties.

Essential Job Functions
Answers incoming switchboard telephone calls and connects the caller with the appropriate person in a timely manner.

Manages incoming and outgoing US Mail, Inter-office mail, courier service deliveries and postage machine.

Tracks incoming and outgoing visitors and assign visitor badges when necessary.

Responsible for monitoring and accounting for training room keys, projectors, visitor badges, using sign in/ sign out procedures.

Order office supply, kitchen supplies and any other special supplies needed by employees.

Printer/vending machine/Aramark service calls.

Acts as liaison with building management when needed. (i.e. security codes, access key cards, furniture movement, etc.)

Maintains updated phone list, company library and publications on a regular basis.

Maintains the cleanliness and appearance of the office common areas.

Skills and Knowledge
Previous experience with front desk operations. (i.e. switchboard, issuing visitor badges, greeting customers, mail operations)

Knowledge of purchasing inventory supplies, ordering business cards, maintenance of supplies and office equipment.

Good organizational skills, strong communication skills, excellent customer service skills and decision making skills.

Must be computer literate in Microsoft office (Word, Excel, PowerPoint and Outlook)


Education and Experience
High school diploma or equivalent. Requires previous experience of three to five years experience in a receptionist and/or Administrative Assistant position. Previous administrative or customer service experience a plus and a combination of education and experience providing equivalent experience acceptable.
